Sunapsis Project
ISEO is excited to launch Sunapsis—a new, improved system to manage international student and scholar cases and services. In partnership with the Information Technology Services, key functionality will be implemented in phases throughout 2026.
The implementation of Sunapsis is intended to enhance user experience for all audiences. On March 18, Sunapsis will replace the system we currently use to manage student and scholar records. The system will transform how we support visa and document-related transactions throughout the entire student and scholar lifecycle. In addition, it will provide analytics to facilitate the continuous improvement of our office operations and help improve the international student and scholar experience at UC San Diego.

Upcoming Changes: Emails to Routing Partners within Colleges and Departments
In Phase IV, scheduled to go live on August 18, 2025, iServices.ucsd.edu is scheduled to replace iPortal.ucsd.edu, ISEO's current online document request system. Current routing partners who have been identified as a primary or secondary approver, tasked with reviewing routed iPortal requests, including Curricular Practical Training (CPT), Optional Practical Training (OPT), Reduced Course Loads (RCL), and Program Extensions, will experience the following changes in the future state:
- Current State: When a student submits a request by logging into iPortal.ucsd.edu that requires your approval, iPortal generates an email to the email address your college or department provided to ISEO. Staff may also log into iPortal.ucsd.edu to view a list of pending requests.
- Future State: This year, ISEO will be transitioning to a new online request system called iServices. The following notable changes may change routing partner's internal processes:
- Student Access: Students will log into iServices.ucsd.edu that may require college or department approval. Routing Partners may need to review their advising tools and change all instances of iPortal.ucsd.edu to iServices.ucsd.edu.
- Routed Requests: Requests submitted through iServices will generate an email with a link to access the student's responses. The Colleges will have one email address. Departments will need to indicate their preferred email address for undergraduate students requests and graduate students requests.
- Undergraduate College Email (College Routing Partners Only)
- Undergraduate Department Email (Department Routing Partners Only)
- Graduate Department Email (Department Routing Partners Only)
- Staff View: Unlike iPortal, this initial phase of iServices does not currently offer routing partners the capability to log into iServices.ucsd.edu to view a list of pending requests. We recognize how important this is to colleges and departments and are exploring this feature in our next phase of implementation.

Requested Action
To assist with this transition, we are asking for your assistance in confirming the email address in which you wish to receive routed requests. Routing Email Considerations:
- If your team has multiple people who will need to review requests, we recommend continuing to designate your college or department's general email address as the recipient of iServices requests.
- Consider Business System, Active Directory, and other access concerns associated with having only one email address.
- Unlike iPortal, all requests routed for Graduate students must be sent to the same routing email, determined by the routing department. This means Masters and PhD students will share the same routing email in iServices.
Preparing for the Change
In Phase IV, scheduled to go live on August 18, 2025, iServices.ucsd.edu is scheduled to replace iPortal.ucsd.edu, ISEO's current online document request system. Here's how it will impact the student timeline and your routed requests within iPortal:
- Now until Sunday, August 17th, 2025, at 9PM PST, students may continue to use iPortal.ucsd.edu to submit requests to ISEO. Any new requests after this date must be submitted in iServices.ucsd.edu.
- On Monday, August 18, 2025, iServices.ucsd.edu will be open for students to submit requests!
- From Monday, August 18, 2025, to Friday, August 29, 2025, ISEO and Routing Partners will continue to process any pending requests in iPortal.ucsd.edu while also beginning to review routed emails through iServices.
- On Monday, September 1, 2025, ISEO will begin cancelling requests in iPortal.ucsd.edu that are Incomplete (meaning the request is not reviewed by department/college or needs additional information from the student). Students will be instructed to submit a new request in iServices.ucsd.edu.
- Now until Friday, October 31, 2025, students should log into iPortal.ucsd.edu to download all documents from previous requests. Students will no longer have access to previous requests and documents in iPortal after this date. Routing Partners are also encouraged to download or access any reports they need before losing access on this date.

Student Support within iServices.ucsd.edu
The implementation of Sunapsis will transform how ISEO can better support visa and document-related transactions throughout the entire student and scholar lifecycle. We ask that students exercise patience as ISEO manages this change and enters a phase of learning to reshape our student support services for the new system.
Requested Action:
Log into iPortal.ucsd.edu and download all documents from previous requests for your own records. After Friday, October 31, 2025, you will no longer have access to iPortal.ucsd.edu to retrieve these documents.
Note that ISEO’s transition will occur on Monday, August 18, 2025. If you have any pending requests in iPortal submitted prior to this date, ensure you are closely monitoring your email and providing any additional information, if necessary. Any requests that are still incomplete within iPortal.ucsd.edu on September 1, 2025, may be cancelled by ISEO requiring you to resubmit a new request in iServices.ucsd.edu.
