J-1 Scholar Amendment Requests
NOTE: No recharge fee is required for processing of J-1 program amendments and updates.
Initiating an Amendment
Finding a Current Scholar's Record
Log into the iServices portal and select the "Departmental Services" page.

Please note that there are two ways for a department user to access a scholar's profile.

Select on my "My Current Cases" under the LISTS section.

Clicking the scholar's name you are searching for will populate a page titled "Work on Application", which will list of all potential requests a departmental user can submit.

Locate the desired amendment or update request under the TASKS section.

J-1 Scholar Site of Activity Update Request

Connect to the scholar record by entering their iServices ID and date of birth.

NOTE: The iServices portal does not have a scholar “search bar” function; instead, the scholar iServices ID and date of birth will be the data needed to search for a scholar. Currently the system is not loaded with UCPath IDs; if you not have a scholar ID saved you can either:

Reach out to ischolars@ucsd.edu to request the scholar iServices ID/DOB combination and we will provide it to you, or
-
Begin "Add New Person" e-form and input UCSD email and DOB; the system will recognize the duplication and will provide you with the current campus ID ("FS9999" is most typical); you can then use this ID with the DOB to call up the scholar's record.

J-1 Scholar Date Amendment (Pre Arrival)
If the J-1 Scholar will not arrive to UC San Diego by their program start date, a date amendment can be submitted only by the departmental contact.

All J-1 scholar's SEVIS records must be validated within 30 days from the start date. If not, the record will cancel itself.

Program start and end dates: If the new dates are tentative, you can submit a future date amendment request when the dates have been finalized.
Standard Processing: Allow 5 days for ISEO processing after submission.
J-1 Scholar Financial Update Request
If changes have been made to the scholar funding sources, submit all updated proof of funding documentation and total amounts.

J-1 Exchange Visitors are required to demonstrate minimum monthly funding as follows:

J-1 Principal: $2400/month

J-2 Spouse: $800/month
-
J-2 Child (each): $400/month

Standard Processing: Allow 5 business days for ISEO processing after submission.
J-1 Appointment Title Change
If the scholar has/or will have a new appointment title, following will be required:

Standard Processing: Allow 15 days for ISEO processing after submission.
J-1 Scholar Site of Activity Update Request
To submit an update to the primary or secondary worksite for a J-1 scholar, provide the following information:

New Site of Activity Name: The drop down list populates three of the most common sites of activity for J-1 scholars at UC San Diego.

UC San Diego Main Campus

UC San Diego Medical Center-Hillcrest

Veterans Affairs San Diego Health Care System

If a different worksite and address is needed, select “Other” and type in the Site of Activity name and address information.

Primary/Secondary Site of Activity: Indicate if the newly added site of activity will act as primary or a secondary worksite for the scholar. The primary site of activity will be printed on the DS-2019.

Inactive Site of Activity: Please provide the name and address of inactive worksites, so the advisor may remove them from the scholar record.
Standard Processing: Allow 15 days for ISEO processing after submission.
ISEO Review and Approval
Upon submission, the status of the request will change form "In Progress" to "Pending Office Approval".

This new system of submission requires that the request be fully complete by department and scholar before reaching the ISEO team for processing.

Once submitted the assigned scholar advisor will review the submission.

If additional information/documentation is required, the advisor will reach out to the departmental contact or scholar via email before approving.

If nothing additional is needed, they can process and approve the submission, attaching a DS-2019 as appropriate.
